Position – Executive Assistant

Position: Executive Assistant (20 hrs/week, Remote, Flexible Hours – $30/hr)

Job Overview:

We’re growing and looking for a flexible, high-functioning Executive Assistant to join our crew. This person will be a central force behind our operations, supporting everything from internal systems and marketing to sales and client delivery.

This is a part-time role (20 hours/week) at $25/hour, with complete flexibility on when you work—we care about outcomes, not clock-punching. You’ll work closely with the co-founders and leadership team, with plenty of room to grow into higher-level strategy and operations work.

Responsibilities:

Administrative & Operations

  • Maintain and update internal knowledge bases, documentation, and policy books
  • Manage onboarding/offboarding and run payroll
  • Organize and pay bills; track subscriptions or financial workflows
  • Coordinate job interviews and manage applicant responses
  • Respond to internal requests and employee leads
  • Book travel and assist with complex scheduling
  • Handle subcontractor paperwork (issue, collect, organize)

Marking Support

  • Maintain and post on social media
  • Build or manage a lightweight marketing calendar (blog posts, event content, social pushes)
  • Follow up with team for marketing inputs and track progress
  • Format and polish marketing collateral and customer stories
  • Help coordinate and execute virtual event strategies
  • Collect client feedback for testimonials

Client Delivery & Project Operations

  • Schedule executive alignment and complex client meetings
  • Monitor project data in tools like Salesforce and partner portals
  • Track support queue items, project flags, and potential overages
  • Manage 1Password access and credential formatting
  • Monitor project reviews and document accordingly

Training & Certifications

  • Coordinate internal training sessions and external vendor demos
  • Monitor employee certifications and send renewal reminders
  • Issue certification testing codes and track results in Salesforce

Ideal Experience:

Great to have: 

  • Background in HR, marketing coordination, or professional services
  • Experience supporting executives or founders
  • Strong writing and documentation habits
  • Experience working across multiple time zones

Even better if you have: 

  • Have executed a full marketing campaign
  • Graphic design and video editing experience
  • Are passionate about nonprofit/education sectors
  • Love bringing order to chaos and creating systems from scratch
  • Experience with our tech stack: Salesforce, Google Workspace, Slack, Jira, Confluence, Todoist
